Who we are
The Brotherhood operates brotherhoodretreats.co.uk and organises the events advertised here. Contact hello@brotherhoodretreats.co.uk or write to The Brotherhood, care of Mayan Retreats, Rear of Floss Mill, Unit 4, St Georges Lane, Cleveleys, Lancashire, FY5 3LT.
Bookings and enquiries
We use your name, email address, mobile number, selected event, number of tickets and booking/payment references to arrange your booking, send confirmation and answer questions. We may contact you about your booking by email, phone or WhatsApp; providing a number does not subscribe you to marketing. WhatsApp is a separate Meta service with its own privacy notice. Your contact details are available only to authorised organisers, not displayed on public event pages or sent to website analytics. Stripe handles payment details; our booking database does not receive your full card number. Booking processing is necessary to arrange and fulfil our contract with you. For other enquiries, we rely on our legitimate interest in responding to people who contact us.
Event updates by email
The optional booking checkbox lets you ask for future Brotherhood event and information emails. It starts unticked and you can book without selecting it. We record your choice, the wording shown, its version, time and booking-page source. This is separate from booking confirmations and safety acknowledgement, and does not give consent to marketing by text or WhatsApp. You can withdraw your choice at any time by emailing hello@brotherhoodretreats.co.uk; this does not affect your booking. Any marketing emails we send will include an unsubscribe option.
Safety acknowledgement
The booking form asks you to acknowledge that you have read our safety and suitability guidance. This is not a medical assessment, a declaration that you have no health conditions, or a waiver of your rights. It does not ask for diagnoses or medical answers. Please contact us before booking if you need to discuss suitability. Do not put medical details in payment references. If a separate health questionnaire is introduced, we will explain its purpose, recipients, retention and applicable consent before collecting answers.
Optional website analytics
Google Analytics helps us understand which public pages people visit and broad sources of visits, device types and approximate locations. It uses browser identifiers; this information is not described as anonymous simply because your name is absent. Analytics loads only after you choose Accept analytics. Rejecting it does not stop you browsing or booking. We do not send names, emails, phone numbers, health answers, booking references or form contents to Analytics. Administration, booking-confirmation and safety-guidance pages are excluded. Advertising storage, advertising user data and advertising personalisation remain denied.
Cookies and browser storage
We store your accept/reject choice and notice version in browser local storage under brotherhood.analytics-consent for 180 days. After acceptance, Google may set _ga and _ga_QZJSQ1F8Z4 cookies to distinguish browsers and sessions; we configure their lifetime to 180 days without automatic extension. Cookie settings in the footer lets you change your choice. On withdrawal we disable tracking, clear accessible first-party Analytics cookies and reload the page to unload the tag. Choices apply to this browser/device. Clearing storage may cause the choice to be asked again. Essential checkout and security services are separate from optional Analytics and operate when needed to fulfil your booking or protect the service.
Service providers
Cloudflare hosts and delivers the website. Flint provides the scoped booking/content service, Supabase stores booking records, Stripe processes payments and Resend delivers booking emails. Google receives optional analytics data only after acceptance. These providers process information relevant to their services; they may operate internationally, including outside the UK. Contact us for details of the providers and transfer arrangements relevant to your information. External services have their own privacy notices. We may disclose relevant records where required by law or to establish, exercise or defend legal claims.
Retention and security
We keep booking and payment records for the period needed to fulfil the event, handle refunds or disputes and meet applicable accounting and legal record-keeping requirements. We keep enquiries while needed to respond and resolve follow-up matters. Security information, including an IP-derived hash used to protect bookings, is used for abuse prevention and service operation. Analytics cookie expiry is separate from Google’s server-side retention settings. You can ask us about the retention applying to your information or request deletion, subject to legal obligations. We restrict access to operational information; no online system can be guaranteed completely secure.
Your rights
Depending on the circumstances, you can ask for access, correction, deletion, restriction or a portable copy of your personal information, and object to processing based on legitimate interests. You can withdraw analytics consent at any time using Cookie settings; this does not undo prior lawful processing. Contact hello@brotherhoodretreats.co.uk. We may ask for proportionate information to verify a request. You can complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint/.
Updates
Last updated 25 October 2026. We will update this notice when our practices change and ask again before materially expanding optional tracking. Marketing consent is separate from a booking or an analytics choice.
